“How much will it cost?” is the question business owners ask most about AI automation, and the hardest one to answer honestly, because there is no price list. One quote is a few thousand rand and another is ten times that for what looks like the same thing. This guide explains what you actually pay for, what drives the price, the costs that do not appear in the headline figure, how our own packages work, how to compare quotes properly with a free tool, and what to ask any provider before you sign. IT-Support-SA builds AI automation from Pietermaritzburg for businesses across KwaZulu-Natal and the rest of South Africa, and confirms a price in writing after a free discovery call.

The Short Answer
AI automation is usually priced as a one-off setup fee plus a monthly fee, with a few third-party costs on top. The setup pays for mapping, building, connecting and training. The monthly fee pays for hosting, AI usage, monitoring and retraining. The price is driven by the number of channels, the systems connected, the volume of queries and the tasks the AI performs. At IT-Support-SA, the packages are from R12,500 setup plus R2,000 a month, from R28,000 plus R4,000, and from R60,000 plus R7,500. Other providers differ widely, so the right comparison is what each quote includes, not the total.
What You Actually Pay For
1. Setup: the one-off work
- Discovery and mapping: understanding how queries reach you today and what the AI should and should not do.
- Building and connecting: setting up the channel, the log and any connections to your calendar, CRM or accounting.
- Training: loading your prices, policies, answers and tone of voice, and setting the rules for when a person takes over.
- Testing and a pilot: running real queries with a person checking the work before full go-live.
2. The monthly fee: keeping it running and improving
- Hosting and the systems that run it.
- AI usage: what the underlying AI services charge for the work they do.
- Monitoring: someone watching that it works and that nothing has broken.
- Retraining: updating it when your prices, hours and policies change, and fixing the answers it got wrong.
- Reviews and reporting: a regular look at the log, so it keeps improving.
3. Third-party costs
- WhatsApp message charges. WhatsApp’s business platform charges for some categories of message, and its rates change. Replying to a customer who has just written to you is treated differently from messages your business starts, such as reminders and follow-ups, which need pre-approved templates. Check Meta’s current pricing and ask how it is passed on.
- Software you already pay for or may need: a CRM, a booking system, accounting software or a Microsoft 365 licence, if the AI connects to them.
- A website or domain, if you want a website chatbot.
4. Your own time
Someone has to write down the answers, review the log and decide what the AI may do. It is not large, but it is real, and quotes that ignore it tend to produce projects that stall.
What Drives the Price
What moves the price, roughly from the biggest effect to the smallest:
- Channels. WhatsApp, email and a website chat each need their own connection and testing. A website chatbot is a bigger build than a single channel.
- Systems connected. A spreadsheet log is simple. A CRM, calendar or accounting connection is a real integration, priced accordingly.
- What the AI does. Answering questions is simpler than booking appointments or preparing quotes, because acting on your systems needs more rules and testing.
- Volume. More queries means more AI usage, monitoring and a bigger package.
- A portal and analytics. A management portal or branded dashboard is extra build work.
- Care with personal information. Handling customer or patient data properly takes planning and checking, and is worth paying for.

IT-Support-SA’s Packages
Our AI integration service has three packages, all from-prices confirmed in writing after a free discovery call:
- Starter: from R12,500 setup plus R2,000 a month. One channel, WhatsApp or email, with a Google Sheets or Airtable log, AI trained on your tone and rules and a human escalation path, for under 500 queries a month. Typically live in about two weeks.
- Business: from R28,000 setup plus R4,000 a month. WhatsApp and email together, an Airtable management portal with analytics, faster AI, priority support and a monthly review, for 500 to 1,500 queries a month. Typically three to four weeks.
- Enterprise: from R60,000 setup plus R7,500 a month. Everything in Business plus a custom branded portal, a website AI chatbot and full query analytics, for 1,500 or more queries a month. Typically six to eight weeks including testing.
Every build includes a 30-day pilot on real queries before full rollout. WhatsApp’s own message charges, where they apply, are separate and set by Meta.
Costs That Hide Outside the Headline Price
These are the ones that turn a cheap quote into an expensive project:
- Volume caps and overage. A price for “up to 300 queries” is fine until you have 800. Ask what happens above the cap and what it costs.
- “Unlimited” claims. Ask what the limits are in practice, in writing.
- Per-change charges. If every update to a price or an answer is billed, a small business ends up paying for the system to stay correct.
- Connection fees. Each system connection priced separately and added late.
- A setup that excludes training. The system is built but knows nothing about your business, and training is a second invoice.
- Uncapped price rises. A cheap first year followed by a large increase.
- Lock-in. If your prompts, answers and logs belong to the provider and cannot be exported, leaving means starting again.
- No pilot. You find the problems with real customers.
- Message fees nobody mentioned. Third-party charges that arrive on a separate invoice.
Is It Cheaper Than a Person?
Sometimes, but compare carefully. AI does well at high-volume, repetitive work such as routine questions and after-hours replies, and it never sleeps. It does not replace judgement, complaints, advice or decisions about people, and it needs someone to look after it. The honest framing is capacity, not cash: the hours it frees become savings only when they go to work that earns or saves money. Our guide to what to automate with AI first has a calculator that puts your own numbers to it, and our guide to where to start with AI automation shows how to pick a first project that pays back quickly.
Compare Two Quotes
Enter the figures from two quotes and tick what each one actually says it includes. The tool shows three-year cost, cost per query at your volume, how many of ten important items each covers, and warns about volume caps and the commonly missed items. The starting numbers are examples, so replace them with your own.
The start-up example shows a typical trap: a cheaper quote that states no volume cap and leaves out most of the ten items, against a dearer one that covers nearly all of them. The cheaper one is cheaper only until you add what is missing, or until your volume passes a limit nobody mentioned. Three items are flagged “often missed” because they are the ones that hurt most when discovered late: what the monthly fee actually covers, whether third-party message charges are explained and whether you own your data and can take it with you. If you would like a second opinion on a quote you have, use the button to send it to IT-Support-SA and we will tell you what we would check.
Questions to Ask Every Provider
- What exactly is in the setup fee, and what is not?
- What does the monthly fee cover, in words?
- How many queries are included, and what happens above that?
- Which third-party charges apply, and how are they passed on?
- Is there a pilot before full go-live, and who checks the work?
- Who owns the data, the answers and the logs, and can I export them?
- Where is my customers’ data processed? (This matters for POPIA, especially if it leaves South Africa.)
- How are updates to my prices and policies handled, and what do they cost?
- What is the contract term, how can prices change, and how do I leave?
- Who do I call when it goes wrong?
Is the Cheapest Quote a Bad Sign?
Not always. A simple single-channel project with a spreadsheet log can legitimately cost less than a full build. What to be cautious about is a price far below the others for what looks like the same scope, because something is usually left out: the training, the pilot, the monitoring or the ownership terms. Ask for an itemised breakdown of build, integration and ongoing usage costs, and compare the ten items rather than the total. Use the same discipline for any IT service: our guide to what IT support costs in South Africa explains how to compare pay-as-you-go and monthly pricing.
Off-the-Shelf Tools or a Custom Build?
Ready-made chatbot and automation tools often charge a monthly subscription, sometimes with per-conversation or per-message charges, so check current pricing carefully. They can suit a single, simple task if you have time to set them up and keep them correct. A managed build costs more up front but includes the connections to your systems, the training, the monitoring and the human hand-over. Choose a ready-made tool when the task is simple and low-risk. Choose a managed build when it must work on WhatsApp through the official platform, connect to your calendar, CRM or accounting, handle customer or patient information under POPIA, and be monitored and retrained as your business changes. For features no tool offers, see our guide to custom software development.
POPIA Is a Cost Too
If the AI reads customer messages, it handles personal information, and handling it properly takes planning, secure connections, a record of what it did and clarity about where the data goes. In general terms, POPIA expects reasonable security (Section 19), conditions for sending information outside South Africa (Section 72), a person in decisions that significantly affect someone (Section 71) and consent for marketing (Section 69). A quote that says nothing about any of this has either left it out or not thought about it. Our POPIA IT compliance checklist covers the technical side, and our AI acceptable use policy guide covers what your own staff should and should not paste into AI tools. This is general information, not legal advice.
How to Spend Less and Get More
- Start with one task on one channel. The first project should prove itself before you widen it.
- Write down your answers first. It is the cheapest work in the project and the thing that makes everything else cheaper.
- Pick a package you can grow into, so a successful pilot does not mean a rebuild.
- Measure from day one, so you know whether the money is working.
- Keep what a person does best with a person, and pay AI only for the repeatable parts.
How IT-Support-SA Can Help
We start with a free discovery call: we map how queries reach you today, find the highest-volume repeatable tasks, tell you plainly where automation would pay back and where it would not, and give you a from-price in writing for the package that fits, including what the monthly fee covers and what is separate. If AI is not the right answer, we will say so. Contact IT-Support-SA, see our AI integration service, or WhatsApp us on 069 560 0708 and tell us how enquiries reach you today. We support businesses across Pietermaritzburg, the KZN Midlands, Durban, Ladysmith, Johannesburg, Cape Town and all 9 provinces of South Africa.
Mistakes That Cost Businesses Money
- Comparing totals instead of what is included.
- Never asking what the monthly fee covers.
- Missing a volume cap until the first overage bill.
- Forgetting third-party message charges.
- Signing without a pilot.
- Not owning your data and answers.
- Starting big instead of proving one task first.
- Treating freed hours as cash that appears on its own.
- Skipping POPIA questions until something goes wrong.
Conclusion
AI automation costs what the scope costs. Understand the four parts, the one-off setup, the monthly running fee, the third-party charges and your own time. Know what drives the price, watch for the costs that hide outside the headline figure and compare quotes on what they include, not what they total. Start small, measure and widen only when the first project has earned it.
